Tasks

The Tasks module is available if your organization has it enabled. Click the Tasks icon in the navigation rail to open it.

Task Lists

Tasks are organized into lists in the left pane. Every account has a My Tasks system list that cannot be deleted. You can create additional lists to organize work by project, area, or any other grouping.

Creating a Task List

Click the + button next to the Lists header in the left pane, or right-click → New list. Give the list a name and click Create.

  • Rename
  • Delete — deletes the list and all tasks in it

Creating a Task

  1. Select the task list you want to add to.
  2. Click + New Task or click in the "Add a task" area at the top of the list.
  3. Enter a title and press Enter. The task is created with the organization's default status.

Task Fields

Field Description
Title The task name
Status The current workflow stage (defined by your administrator in Task Statuses)
Priority None / Low / Medium / High / Urgent
Due date The date the task should be completed
Start date When work on the task begins
Reminder A date and time to receive a notification
Recurrence For repeating tasks — see Recurring Tasks
Assignee Another person in your organization to assign the task to
Notes Free-form text for details, steps, or context

All fields save automatically as you type — there is no Save button.


Task Statuses

Statuses represent where a task is in your workflow. Your administrator defines the available statuses and their colors in Task Statuses. Statuses marked as terminal (e.g. "Done" or "Completed") close the task.

Change a task's status using the dropdown in the task detail panel or right-clicking the task in the list.


Assigning Tasks

To assign a task to someone:

  1. Open the task detail panel.
  2. Click the Assignee field and start typing a name or email address.
  3. Select the person from the autocomplete list.

When you assign a task, the assignee receives: - A real-time notification in their webmail (a toast popup with a sound) - A browser notification (if they've granted notification permission) - An email notification with a link directly to the task

Assignees can edit the task, update its status, and mark it complete.

Cross-Domain Assignment

Whether you can assign tasks to users on other domains within your organization depends on the Cross-domain task assignment setting in Tenant Admin → Task Statuses. When enabled, you can assign to anyone in the organization. When disabled, assignees must be on your own domain.


Recurring Tasks

When creating or editing a task, click Recurrence to set a repeat pattern:

  • Daily — every N days
  • Weekly — on specific days
  • Monthly — same date or same weekday each month
  • Yearly — annually

When a recurring task's status is set to a terminal (complete) status, the next occurrence is automatically created.

Editing a Recurring Task

When you edit a recurring task, you choose:

  • This task only — changes only this occurrence
  • This and following tasks — changes this and all future occurrences
  • All tasks — changes every occurrence in the series

Notifications and Reminders

Assignment Notifications

When a task is assigned to you: - A toast notification appears in the upper right of webmail - A browser notification appears if you've allowed notifications for the webmail URL - An email is sent to your inbox with a link to open the task

Completion Notifications

When a task you assigned to someone is marked complete, you receive a notification.

Reminder Toasts

If you set a Reminder on a task, a toast notification appears in webmail at the specified time. Reminders only fire when you have the webmail window open.


Bulk Selection

  • Click the checkbox that appears on hover to select individual tasks.
  • Use Select All to select all tasks in the current list.
  • With tasks selected, use the toolbar to Delete or take other bulk actions.

Tasks have shareable links. When you receive a task notification email, clicking the link opens the task directly in webmail in a new tab. You can also share the URL from your browser's address bar while a task tab is open.


CalDAV Sync (VTODO)

Vantage tasks are accessible via CalDAV as VTODO items. Any CalDAV client that supports VTODO (such as iOS Reminders via DAVx⁵, Thunderbird, or Fantastical) can sync your tasks.

Use your full email address and an app password (not your main password) to authenticate. Create an app password in Settings → App Passwords.
