Settings

Click the gear icon in the navigation rail to open your personal settings. Settings are organized into sections; changes save automatically (or via a Save button where shown).

Locked settings

Some settings may be locked by your administrator. Locked settings display a padlock icon and cannot be changed. Contact your admin if you need a locked setting changed.

Mail — Reading

Reading Pane

Message Display

Ask before showing (default): A banner appears at the top of each message with external images. Click it to load images for that message. This protects your privacy by preventing senders from tracking when you read their email.

Mail — Signature

Your email signature is inserted automatically into new messages, replies, and forwards.

  1. Type or paste your signature in the rich text editor.
  2. Use the toolbar to format it with your name, title, company, and contact details.
  3. Your changes save automatically.

If your administrator has locked the signature, the editor will not be available.


Calendar

View

Working Hours

Sets the highlighted "business hours" band in the Day and Week views. Events outside these hours are still visible but the background is slightly dimmed.

Calendar Bar

The Calendar Bar is a collapsible panel in the mail view showing a mini calendar and upcoming events.

Security

Password

Change your account password here. You must enter your current password to set a new one.

Your organization's password policy is shown below the fields — it specifies the minimum length and any required character types. The new password must meet all requirements before it can be saved.

Authenticator App (TOTP)

Adds a second sign-in factor using a code generated by an authenticator app (Google Authenticator, Authy, 1Password, etc.).

To set up:

  1. Click Set up authenticator app.
  2. Scan the QR code with your authenticator app, or enter the manual key if you can't scan.
  3. Enter the 6-digit code the app shows and click Confirm.

To remove:

  1. Click Remove authenticator.
  2. Enter your account password to confirm.

Recovery Email

A personal email address (not your Vantage address) used for:

  • Password reset
  • Receiving one-time sign-in codes if you use OTP as a sign-in method

To add or change:

  1. Click Add recovery email (or Change if one is already set).
  2. Enter the external email address.
  3. Click Send verification code — a code is sent to that address.
  4. Enter the code and click Confirm.

To remove: Click Remove, then enter your password to confirm.


App Passwords

App passwords let your email client, phone, or desktop app connect to Vantage via IMAP, SMTP, or ActiveSync without using your main account password. Each device gets its own password, so you can revoke one without affecting others.

Creating an App Password

  1. Click New app password.
  2. Enter a name that identifies the device or app (e.g. "iPhone Mail," "Thunderbird," "Outlook").
  3. Choose a Protocol access scope:
  4. All protocols — IMAP, SMTP, and ActiveSync
  5. IMAP — read-only email access
  6. SMTP — sending email only
  7. ActiveSync — phone/tablet sync (Exchange ActiveSync)
  8. Click Create.
  9. Copy the password immediately — it is only shown once.

Use this password instead of your account password when setting up your mail client.

Revoking an App Password

Click Revoke next to any active password. The device or app using that password will lose access immediately. Revoked passwords are shown in a separate "Revoked" list for audit purposes.
