Task Statuses¶
Task Statuses define the workflow stages available when users create and manage tasks in the Tasks module. Every task in your organization is assigned one of these statuses.
Go to Task Statuses in the left sidebar (under the Tasks section, or directly from Settings → Tasks link).
Default Statuses¶
Vantage includes a set of system statuses that cannot be deleted but can be renamed. System statuses are marked with a lock icon. Common examples include statuses equivalent to "Not Started," "In Progress," and "Completed."
Understanding Status Properties¶

| Name | The label displayed to users in webmail |
| Color | A color swatch shown alongside the status name |
| Default | When checked, new tasks are automatically assigned this status. Only one status can be the default. |
| Terminal | When checked, this status counts as "complete." Terminal statuses are used for reporting and filtering. Only tasks in non-terminal statuses appear in active task lists by default. |
| System | Built-in statuses that cannot be deleted. They can be renamed and recolored. |
Creating a Custom Status¶
- Click + New Status.
- Enter a name for the status.
- Pick a color using the color picker.
- Optionally check Default status for new tasks to make this the default.
- Optionally check Terminal (counts as complete) if this status represents a finished or resolved state.
- Click Create.
Editing a Status¶
Click Edit on any status row to change the name, color, default flag, or terminal flag. System statuses can be renamed and recolored.
Reordering Statuses¶
Drag any row by the ⠿ handle on its left side to change the order. The order is saved automatically. The order here determines the order statuses appear in dropdowns and status selectors in webmail.
Deleting a Status¶
Click Delete on any non-system status row. Statuses that are currently assigned to active tasks cannot be deleted — the delete button is disabled and shows a tooltip explaining why. Reassign those tasks to another status first, then delete.
Task Settings¶
Below the status list is a Task Settings section with one option:
Cross-domain task assignment¶
When Allowed, users can assign tasks to other users on any domain within your organization.
When Same domain only, a user can only assign tasks to people on their own domain.
This toggle is useful for organizations that want to keep task assignment within specific teams or divisions, each on their own email domain.
Click Save to apply the change.
